A well-established California law firm is seeking a Legal Practice Assistant to support its Construction practice. This role is ideal for a highly organized and detail-oriented professional with strong litigation experience who thrives in a fast-paced, deadline-driven environment. The Legal Practice Assistant will play a key role in supporting attorneys, managing case materials, and ensuring timely handling of legal matters.
RESPONSIBILITIES:
Draft, review, and revise legal and non-legal documents including correspondence, pleadings, and memoranda
Format court pleadings and generate tables of authorities and contents using firm software
File documents with courts and administrative bodies, including e-filing
Arrange for service of pleadings and subpoenas
Coordinate meetings, teleconferences, conferences, and travel arrangements
Organize and maintain case files, binders, and legal documentation
Partner with records teams to manage electronic and physical files
Review and route incoming mail to appropriate parties
Maintain attorney and shared office calendars
Assist with municipal law-related documents (e.g., resolutions, ordinances, agendas)
Track and manage ongoing legal and administrative projects
Enter attorney billable time and coordinate with billing teams
Proofread documents for accuracy, grammar, and formatting
Prepare expense reports, check requests, and vendor payments
Provide backup support to other administrative staff as needed
Support attorneys with business development activities
Deliver high-level customer service to internal and external stakeholders
QUALIFICATIONS:
High school diploma required; Bachelor’s degree preferred
Minimum of 5 years of civil litigation experience
Experience with California state and federal court procedures required; appellate experience preferred
Strong knowledge of discovery and motion practice
Excellent organizational and multitasking skills
Strong attention to detail with high accuracy in grammar and formatting
Ability to work under pressure in a fast-paced, deadline-driven environment
Proactive self-starter with the ability to work independently and in a team setting
Proficiency in Microsoft Office 365 (including Excel)
Experience with legal software such as iManage, CCC Macros, Best Authority, Adobe Professional, and billing systems preferred
Strong interpersonal and customer service skills
WORK ENVIRONMENT:
Onsite role based in Oakland office
