Our client, a reputable law firm with offices in Downtown Austin, is seeking an experienced Practice Assistant. This position supports attorneys and legal secretaries across the entire Austin office with overflow work and helps to cover secretarial absences. The Practice Assistant will prepare conflicts checks and open new matters; review and edit prebills; assist with incoming and outgoing mail; prepare check requests, invoices for payment, and expense reports; enter attorney time, coordinate travel, and maintain electronic files and attorney contacts.  Including but not limited to other clerical tasks and administrative projects as assigned.

Responsibilities:

  • Provide administrative support to the legal secretary team including partners, associates and paralegals in all practice groups within the Austin office
  • Prepare and submit conflicts checks and open new matters
  • Draft new business memos
  • Review and edit prebills
  • Prepare and mail correspondence
  • Prepare and submit check requests
  • Submit invoices for payment, prepare cover letters and mail
  • Prepare and submit expense reports
  • Enter attorney time
  • Coordinator travel for attorneys
  • Maintain electronic files
  • Maintain attorney contacts
  • Scanning and printing documents
  • Heavy calendaring, maintain calendar for attorneys as needed
  • Maintain incoming and outgoing mail
  • Prepare documents in Word, Excel and PowerPoint
  • Other clerical tasks and administrative projects as assigned

Requirements:

The successful candidate will have:

  • Two or more years of legal administrative assistance experience, supporting attorneys in a Corporate, Intellectual Property, and Litigation Practice
  • Outstanding client service skills, advanced computer skills, meticulous attention to detail, excellent organizational skills, a proactive work style, and exceptional verbal and written communication abilities
  • Proficiency in Word, Excel, Outlook, PowerPoint, and Adobe ideal  
  • College degree and large law firm experience preferred
