Our client, a growing professional services company operating in the healthcare industry, is seeking a highly organized Event Operations Coordinator to coordinate complex client-facing events. This role supports projects that bring together subject-matter experts and stakeholders to exchange insights, drive alignment, and advance strategic objectives.

This is a full-time opportunity suited to someone who excels at juggling multiple moving pieces, enjoys a service-oriented role, and takes ownership of delivering seamless experiences. You’ll be working in a fast-moving environment where priorities can shift, requiring strong judgment and adaptability.

This role is fully remote with 20-25% travel, and individuals located on the East Coast are preferred.

Key Responsibilities of the Event Operations Coordinator:

  • Plan and execute a variety of structured sessions, both in-person and online, involving expert participants and client teams

  • Oversee the full process from initial planning through execution and final reporting

  • Act as a central point of coordination between internal teams, external partners, and invited participants

  • Handle logistics such as location sourcing, supplier management, travel coordination, budget tracking, and materials preparation

  • Build strong working relationships with all parties involved to ensure smooth delivery

  • Develop schedules, track progress, and ensure deadlines and deliverables are met

  • Lead communications across stakeholders to keep projects aligned and on track

  • Coordinate with third-party platforms or vendors supporting virtual components

  • Complete follow-up activities, including financial tracking, documentation, and required reporting

  • Maintain a high level of accuracy across all aspects of work

  • Identify opportunities to improve processes and increase efficiency

Qualifications of the Event Operations Coordinator:

  • Postsecondary education or equivalent hands-on experience

  • Several years of experience managing projects, events, or operations in the healthcare space

  • Strong organizational and multitasking abilities

  • High attention to detail and accountability

  • Clear and professional communication skills

  • Ability to work independently while collaborating with a broader team

  • Comfortable using digital tools and platforms for coordination and communication

  • Experience working with highly specialized professionals is beneficial

  • Willingness to travel periodically and support events outside standard business hours when needed

  • Ability to think on your feet and make decisions in dynamic situations
