The Collections Specialist plays a key role in maintaining strong cash flow, ensuring accurate payment tracking, and supporting overall financial operations in a fast-paced environment.
RESPONSIBILITIES:
Collections & Payment Processing
Review daily cash receipts and ensure accurate and timely posting of payments
Handle missing payments, write-offs, and attorney appeal requests
Track outstanding invoices and proactively follow up with clients, adjusters, and claim representatives
Send overdue notices, reminders, and collection correspondence via email and phone
Accounts Coordination
Collaborate with attorneys and billing teams to manage appeals, deductions, and invoice corrections
Maintain accurate and up-to-date records in ARCS and related systems
Monitor flagged accounts and follow up to resolve outstanding balances
Prepare reports and provide updates on collections and payment status
Client & Internal Support
Communicate effectively with clients, attorneys, and internal teams regarding payment inquiries
Provide excellent customer service and maintain strong working relationships
Assist in resolving billing discrepancies and payment issues
Support process improvements and maintain internal procedures for collections workflows
QUALIFICATIONS
Minimum of 2+ years of experience in collections, billing, or finance, preferably in a legal or insurance environment
Strong attention to detail and accuracy in payment processing and reconciliation
Excellent written and verbal communication skills
Ability to manage multiple tasks and deadlines in a fast-paced environment
Proficiency with Microsoft Office (Outlook, Word) and systems such as ARCS
Strong problem-solving skills and ability to resolve discrepancies
Customer service-oriented with strong interpersonal skills
Collaborative team player with strong organizational and time management abilities
