Administrative/Legal Assistant & Accounting Support

Our client, a small and well-established professional services firm, is seeking a highly organized and detail-oriented Administrative/Legal Assistant to support the owner and manage a wide range of administrative, legal, and bookkeeping responsibilities.

This role is ideal for someone who thrives in a structured environment, values accuracy, and enjoys being the go-to person for keeping an office running smoothly. The position requires strong written and verbal communication skills, the ability to work independently, and confidence handling confidential information.

Key Responsibilities

  • Prepare, type, and format legal and professional documents with a high degree of accuracy
  • Transcribe dictation and manage document revisions
  • Answer and route phone calls professionally
  • Prepare, send, and manage correspondence via email and mail
  • Receive, monitor, and respond to incoming emails
  • Track time entries and assist with invoice preparation
  • Perform bookkeeping functions using QuickBooks
  • Input and confirm financial and property information in Buildium
  • Process bill payments and reconcile bank accounts
  • Coordinate and manage service providers and vendors
  • Order, track, and maintain office supplies and equipment
  • File, organize, and maintain legal, financial, and business records
  • Maintain and update office files, databases, and document management systems
  • File and record documents with courts and recording offices
  • Manage incoming and outgoing mail
