Job Title: Technical Proposal Manager

Department: AIM Operations (Corporate)

Job Summary: We are currently seeking a skilled and motivated AIM Technical Proposal & RFP Manager to join our team. In this role, you will be responsible for managing major RFP engagements across the US & Canada. The ideal candidate will have strong technical writing skills, a thorough understanding of document scanning technologies and processes, and the ability to collaborate with various teams to develop comprehensive proposals.

Duties and Essential Functions:

Technical & Price Proposal Development:

  • Determine which RFPs are worth pursuing and manage pre-bid activities.
  • Lead the development of technical and price proposals for submission.
  • Collaborate with customers and the team to create thorough proposals.
  • Customize each proposal to meet the specific requirements of each technical proposal.
  • Maintain a consistent and professional appearance for all proposals.
  • Work with Production Management to develop competitive pricing.
  • Obtain senior management approval on pricing structure.
  • Operate under tight schedules and meet deadline requirements.
  • Deliver completed submission packages to the proper team for final and timely submission to the customer.

Open Bid Monitoring and Tracking (Public and Private Bids):

  • Enter relevant data into the RFP Tracking system for open bids.
  • Assign bid tracking/notification to the appropriate Manager.
  • Monitor open RFPs and update the system as the bid progresses.
  • Coordinate question submission and pre-bid meeting activities.
  • Ensure bid responses are submitted before the deadline.
  • Follow up with procurement agencies for bid tabulations.
  • Determine reasons for award or non-award.

Responsibilities:

  • Learn and understand the methods, technology, and best practices used at our Scanning Centers.
  • Utilize a strong understanding of labor costs, material costs, and direct/indirect costs to ensure project profitability.
  • Be a team player and leader, bringing out the best in others.
  • Maintain a positive “Can-Do” attitude.

Qualifications and Experience:

  • Strong technical writing skills.
  • Two years of document scanning production experience.
  • Thorough understanding of document scanning technologies and processes.
  • Advanced skills in MS Word, MS Access, Adobe Acrobat, and Zoom.
  • Associates Degree or two years of technical writing experience preferred.
