POSITION PROFILE
Our client is looking to add an Office Manager to support the Director of Administration by leading the Pittsburgh based admin team and overseeing office functions. They will help ensure that administrative functions run smoothly, proactively anticipate office needs, and work with the New York based Office Manager on admin project management. The ideal candidate must possess high energy, strong leadership, analytical and strategic thinking abilities, solid
operational experience and knowledge, a talent for finance and budgets, ability to multi-task and superior interpersonal skills.
Responsibilities
Overseeing day-to-day operations of the Pittsburgh admin team
Admin development and team building
Administrative support of the Finance team
Meeting management and coordination oversight
Maintaining and developing vendor and other external relationships
Run Pittsburgh weekly admin meetings
Coordinate with New York Office Manager on firm standards
Management and enhancement of administrative processing systems (like Concur)
HR administration support
Event management support
IT management and coordination
Vendor Management
Invoice Management: Send expense summaries to teams for approvals and
email invoices to portfolio companies
Facilities Management: Manage office visit registrations, environment requirements, fire extinguisher safety program
Other potential responsibilities include supporting other departments as needed
Qualifications
Bachelor’s degree preferred but not required
8-10 years of relevant experience
Polished and articulate writing and speaking skills, demonstrating self-confidence and tact
Extrovert personality, high EQ, good at connecting with others and cultivating
relationships
Self-starter with strong sense of ownership and ability to operate within a close team and independently
Driven, strong interest in self-development, and high integrity
Ability to manage and communicate across multiple demands and constituents
High level of maturity and an exceptional work ethic
Resourceful and detail-oriented with strong organizational skills
Comfortable in a fast-paced and evolving environment
Concur (or similar) Travel and Expense platform knowledge
Proficiency in a variety of software applications – Word, Excel, PowerPoint and

Knowledge of various conferencing platforms (BlueJeans, Zoom, Teams, etc.)
