We are seeking a detail-oriented and proactive Cost Maintenance and Billing Specialist to join our clients commercial construction company. In this role, you will be responsible for managing all aspects of cost maintenance within Spectrum, their ERP system. This includes tasks such as original estimate entry, budget revisions, handling owner and subcontractor change orders, and projecting costs for projects. Additionally, you will play a vital role in analyzing project status through cost reports.

Key Responsibilities:

  1. Cost System Maintenance: Maintain accurate cost records in Spectrum, including the entry of original estimates, budget revisions, and updates related to owner and subcontractor change orders. Ensure cost projections are up-to-date and reflective of project status.
  2. Collaboration with Project Managers and Director of Operations: Work closely with Project Managers and the Director of Operations to identify and execute necessary cost system maintenance. Participate in the issuance of subcontracts, purchase orders, change orders, and owner change orders upon approval of change requests.
  3. Client Billing Preparation: Prepare client billings based on information provided by Project Managers. This includes generating Time and Materials (T&M) invoices, AIA Schedule-of-Value pay requests, and other specialized client billings, with most of the work conducted within Spectrum.
  4. Backup Documentation: Collect and organize all necessary backup documentation for T&M invoices to ensure compliance with client requirements.
  5. Invoice Submission and Follow-Up: Submit invoices to clients and diligently follow up on payment dates to ensure timely receipt of payments.
  6. Accounts Receivable Management: Post approved invoices in Spectrum Accounts Receivable, keeping accurate records of financial transactions.

Qualifications:

  • Proficiency in Spectrum or similar ERP systems is highly preferred.
  • Strong analytical skills to assess project status through cost reports.
  • Excellent organizational skills with a keen attention to detail.
  • Effective communication and interpersonal skills for collaboration with Project Managers, the Director of Operations, and clients’ representatives.
  • Ability to multitask and meet deadlines in a fast-paced environment.
  • Knowledge of billing processes, including T&M and AIA Schedule-of-Value pay requests, is an advantage.
